ABOUT THIS JOB
Gaffney Cline and Associates (GCA) Abu Dhabi (United Arab Emirates) has an immediate opening for an Administration and Facilities Manager
GCA is a global consultancy within the Reservoir Development Services organization of Baker Hughes. The MER office, which focuses on support for Baker Hughes in the region, currently consists of 6 professional staff in temporary office space. The team is expected to move to a permanent office in December 2012 and grow rapidly and substantially. The duties are expected to expand to manage Administrative/Facilites Leads in satellite offices throughout the Middle East in the next 3 years.
KEY RESPONSIBILITIES/ACCOUNTABILITIES
Responsibility for the Administration/Accounting of GCA Abu Dhabi.
Management of all administration personnel including Support staff and Accounts group, reporting into General Manager.
Focal point for all Project Managers regarding any support to ensure project teams can operate efficiently and effectively.
Co-ordination of logistics for projects.
Ensure IT Support and Systems are fit for purpose and available for the various project teams, and such project related information can be stored and shared in a secured manner amongst the project team members (employees and contractors) while complying with IT Corporate policies.
Assist project managers with enforcing daily time recording by all consultants and monitor project expenses vs. budget, including associated progress reports.
Co-ordinate all travel expenses (flights, visas) and accommodation (hotel) for all consultants while ensuring project managers approve such arrangements.
ESSENTIAL QUALIFICATIONS/REQUIREMENTS
Proven team management ability.
Some oil and gas industry experience would be beneficial.
Experience with IT systems for project management accounting and SAP would be helpful. Also required is advanced knowledge of standard Office software including spreadsheets.
Team player, quick learner, flexible and easy to adapt to a dynamic organization are essential qualities.
Good communication skills (written and spoken), a fluent English language speaker.
Willing to travel internationally, to Houston / UK office as required on occasion.

A degree would be preferred but not essential
